PLEASE READ THIS POLICY CAREFULLY BEFORE USING THE WEBSITE OF THE JUNIOR CHAMBER OF COMMERCE OF MONTREAL.

The Junior Chamber of Commerce of Montreal (hereinafter "JCCM," "we," "our," and "us") pays special attention to the protection of your Personal Information. We want to make your experience on our website as enjoyable as possible. This Policy aims to protect the Personal Information of users of our website and explains how we collect, use, and communicate your Personal Information through the website.

The Policy does not apply to Personal Information about our employees, volunteers, or suppliers.

1. Definitions

The following definitions apply to terms starting with a capital letter in the Policy:
Privacy Impact Assessment,” or “PIA”: a process that considers factors that will have a positive or negative impact on the privacy of the individuals concerned;

Privacy Breach”: refers to any of the following incidents; i) unauthorized access to Personal Information; ii) unauthorized use of Personal Information; iii) unauthorized disclosure of Personal Information; iv) loss of Personal Information; or v) any other breach of the protection of Personal Information;

Personal Information”: means any information about an identifiable individual.

2. Introduction

The use of the website is subject to compliance with the terms of use and the Policy. If you access our website and use it, you agree to be bound by the terms of this Policy. If you do not agree to be bound by these terms, please do not access our website.

3. Collection of your Personal Information

We only collect the Personal Information that you provide during your navigation of our website. The website contains predefined data entry fields that allow you to enter certain Personal Information.

4. Use of your Personal Information

You consent to us using the Personal Information about you for the following purposes:

  • Maintaining anonymized statistics about our users to measure the use of the website and improve its content;
  • Providing personalized content;
  • Allowing certain partners of JCCM to make personalized offers through us or in collaboration with us (any solicitation by a third party, however, must have specific prior consent);
  • Understanding and identifying your needs and preferences to offer you personalized services; and
  • Communicating with you and monitoring communications.

Regarding the use of Personal Information, JCCM applies the following principles:

  • Every member of our staff using Personal Information is bound by confidentiality obligations and has received adequate training;
  • Each member of our staff using Personal Information can only access information necessary for the performance of their function;
  • In case of violation, improper use, or use for a purpose other than the exercise of the function, the staff member may face sanctions; and
  • JCCM uses the Personal Information you provide to us only for the purposes described above or for compatible purposes directly and relevantly linked to them.


5. Communication of your Personal Information

5.1 Communication to third parties

We acknowledge that, except in the cases and subject to the conditions described below, the communication of your Personal Information to a third party requires your consent. However, we may, without your consent, disclose your Personal Information when the law or a competent court authorizes or requires it.

By using our website, you also consent to us disclosing Personal Information without your consent when it is legitimate to do so to provide you with services, especially if we are contractually bound to you.

Whenever we need to disclose Personal Information about you, we will endeavor not to disclose more information than is required under the circumstances.

Below is a description of the parties to whom we may disclose your Personal Information, for what purposes, and the measures taken to mitigate the risks associated with these communications.

We enter into contracts with subcontractors and agents to provide you with a service and/or improve existing services.

A contract requires subcontractors to:

  • Use only the Personal Information necessary for the provision of the service;
  • Refrain from disclosing or communicating Personal Information without our consent;
  • Implement adequate security measures;
  • Notify us of a privacy breach;
  • Destroy Personal Information at the end of the contract.

To comply with an order or decision of a court, including a valid search warrant, or a regulatory authority, we may be required to provide Personal Information.

The laws governing these authorities require them to put in place measures to respect and preserve the confidentiality of your Personal Information.

If a request for disclosure of Personal Information by legitimate authorities is not legally binding, JCCM will refuse it.

If such a request is binding, JCCM will inform you, unless prohibited by the authority or the law.

To ensure our defense or assert our rights, we may, in certain cases, disclose your Personal Information.

Both the law and the letters of mandate we sign obligate our lawyers and other legal advisors to protect the confidentiality of all our communications with them.

5.2 Cross-border Communication of Personal Information

You consent to JCCM being able to communicate Personal Information outside of Quebec to subcontractors located in the following regions:

  • Canada;
  • United States.


For future projects where Personal Information will be communicated outside of Quebec, JCCM will conduct a PIA. JCCM will also conduct such an assessment in any other case required by law. The PIA will take into account the following factors:

  • The sensitivity of Personal Information;
  • The purpose of its use;
  • The protective measures it will benefit from; and
  • The legal framework applicable in the state where Personal Information will be communicated.


JCCM will proceed with the communication only if this assessment demonstrates that Personal Information will receive adequate protection in accordance with generally recognized principles of Personal Information protection.

6. Retention of your Personal Information

6.1 Hosting of Personal Information

Personal Information is hosted on Google Cloud and Salesforce servers. You can request additional information about the geographical location of the servers.

6.2 Deletion/Modification Requests

You have the right to ask us to delete or modify certain Personal Information about you.

As soon as you submit a request for deletion or modification of Personal Information, it is analyzed by our teams, and deletion and update requests in the databases are processed within 30 days. The transmission of the request to subcontractors is also done promptly.

Where possible, we delete Personal Information when its retention is no longer necessary. For legal reasons, certain Personal Information may be retained by JCCM according to the retention period prescribed by applicable law or regulation.

7. Withdrawal of Consent

You can withdraw your consent to the collection, use, and communication of your Personal Information at any time, subject to applicable legal and contractual restrictions and with reasonable notice.

8. Use of Cookies

Our website uses a technology called "cookies." A cookie is a small text file stored on your device that identifies your browser, device, or IP address (but not you) on our computers each time you visit our website.

If you have registered on our website, these cookies can; 1) tell us who you are; 2) allow us to access your account information (stored on our computers) to provide personalized services; and 3) provide us and our service providers with information that will help us customize our website based on your preferences and interests.

You can configure your internet browser to be notified when you receive an electronic cookie or to choose not to accept certain cookies (these options are usually found in your browser's privacy settings). You do not have to enable cookies to visit our websites. However, if you decide not to accept cookies, certain settings on our website may not work properly.

9. Use of Invisible Pixels

Our website uses a technology called invisible pixel. An invisible pixel is a graphic image inserted into a web page or email to track user activity, such as whether the web page or email is visited or opened. They are often invisible because they are very small. We sometimes use invisible pixels to obtain an independent assessment of the number of visitors to our website, to collect statistics about browser usage on our website, and to deliver targeted advertising material to certain social media. It will be difficult for you to limit the use of invisible pixels, as there is no easy way to know if they are used for alignment purposes or for other purposes.

10. Protection and Accuracy of Data

JCCM has implemented a series of security measures to protect your Personal Information against loss or theft, as well as unauthorized access, disclosure, reproduction, use, and modification. These security measures include physical, administrative, and technological measures that are reasonable given the sensitivity of the information, its use, quantity, distribution, and support. Specifically, the exchange of Personal and confidential Information between the website and your browser is protected by data encryption technology, and your Personal Information is stored on Google Cloud and Salesforce servers.

11. How to Access and Update Your Information

Any questions or concerns about the Policy or about the collection, use, or communication of your Personal Information, including a request for access or correction or any complaint, can be addressed to the person responsible for the protection of personal information at JCCM, Marie-Krystine Longprès, whose contact information is provided at the beginning of the Policy.

12. Changes to the Policy

JCCM reserves the right to modify the content of this Policy at any time. Any changes made will appear on our website. The date of the last version of this Policy appears at the top of the page. You can print a copy of this Policy for your records and review this section of our website periodically.
